Guidelines for Submitting a Bid for an Upcoming BayCon

To submit a bid proposal, individuals must complete the BayCon Bid Proposal Form. Once submitted, the form will be reviewed by the Society Board of Directors. After the proposal is accepted or rejected, the bidder will be contacted by the Society Bid Committee.

If accepted, bidders will be invited to a special meeting of the Society Board to present their proposal and receive feedback. Depending on the timing of submission, a deadline will be provided for the Board’s final decision. The winning bidder will be notified by the dates listed in the bid schedule below.

Membership in the Society is not required to submit a bid. However, if a bid is approved, the applicant will be expected to join the Society (as only members of the Society may serve on committees, which includes the BayCon Executive Committee).

We are currently accepting bids for BayCon 2028 and BayCon 2029. Moving forward, bids will be accepted for events scheduled two years in advance. Bids submitted after the deadline will not be considered, although they may be eligible for future events if resubmitted in accordance with the guidelines.

Bids must include an estimated budget and should be as complete as possible.

 

Bid Schedule and Important Dates

May 31, 2027: Bid submission deadline for BayCon 2028 / 2029

June 15, 2027: Notification of awarded Chairpersonship(s)

July 2, 2027: Launch Party at BayCon 2027

BayCon Dates:  July 1–4, 2028 (BayCon 2028) | TBA (BayCon 2029)
