Artistic Solutions, Inc. Event Code of Conduct
Agreement to Uphold
This Code of Conduct Policy is an Agreement entered into by any person or persons who have purchased access (hereafter referred to singularly as “Member” plurally as “Members”) and are Attending Physically or Virtually any Event (“Event”) sponsored by or directly produced by Artistic Solutions, Inc. (“ASI”), a corporation registered in the State of California.
Any Members found in violation of this Agreement may have their Badge confiscated by an authorized representative of ASI, and their access to the Event shall be immediately revoked. Future access to Events may also be subject to denial.
Any Members witnessing or subjected to violations of this Code of Conduct Policy should immediately report it to ASI Staff. Members should never feel they have the right to undertake retaliation or retribution on their own, as it will risk their own expulsion from the Event.
Badge Visibility
When on Event premises and within the Event spaces, for the duration of the Event, Members subject to this Agreement shall always wear their Badges in an easily-visible location on their person. Members agree that Badges are non-transferrable, and may not be altered in such a way that obscures important information for identification (Badge Number, Badge Type, Fan Name, etc). Badges may not be duplicated or forged. Any Badge issued by ASI for the Event will remain the property of ASI until the Event duration is completed. Should the Member still possess the Badge following the Event, the Badge may be kept by the Member as their personal property.
Care of Event Space
Members agree to keep the care of the Event space in the highest regard for the benefit of other Members and ASI. This includes observing and obeying all posted signs pertaining to Facility or Event guidelines, Event programming, and any other related signage. Members agree to observe and obey accessibility, safety, fire, and other regulations governing the health and safety of their fellow Members while on Event premises, within or without the Event spaces, specifically. Members agree to not deface or damage rooms or areas allocated to the Event including, but not limited to, writing on walls or doors, using adhesive substances on walls or doors, placing unauthorized signage upon walls and doors, and/or moving/tampering/damaging furniture.
If during the Event, changes need to be made to Event spaces for any reason(s), Members should always contact the designated Event Operations (ConOps) department for assistance. This contact information is usually printed on the reverse side of a Member’s Badge.
Prohibited Items
The following is a list of items which are prohibited from the Event.
- Any and all items or substances that are prohibited by policy of the owners of the premises, laws and/or regulations of the City and County of Santa Clara or the State of California. Examples include weapons, fireworks, controlled substances, or alcohol.
- Any and all smoking devices including, but not limited to, cigars, cigarettes (real or electronic), pipes, bongs, or vaporizers. The premises are smoke-free and have designated outdoor smoking areas to accommodate those who wish to employ said devices.
- Disruptive audio or visual devices including, but not limited to, laser pointers, vocal amplification devices, sirens/noisemakers, or strobe lights.
- Digital or Analog Signs soliciting goods or services that are not a part of a cosplay design.
- Food and beverages within any of the Event spaces. Please consume food or beverages in the dining areas or outside of the premises.
Weapon props associated with costumes/cosplay are subject to inspection and must be peace-bonded by Event Operations (ConOps). The peace-bonding may not be removed for the duration of the Event or else it will be considered a prohibited item and a violation of this policy.
Harassment
We define “Harassment” as acting in any manner that is disturbing or upsetting to others. All ASI Events employ a Zero Tolerance Harassment Policy. Harassment examples are defined as the following:
- Employing any offensive language or imagery with respect to gender or gender identity, sexual orientation or sexuality, ethnicity or origin, medical status, physical appearance, religion, age, or genetics.
- Employing any unwanted sexual behavior, such as (but not limited to) the acquisition or distribution of sexual or sexualized imagery, stalking, comments, advances, inappropriate staring/leering, or physical contact.
- Employing any uninvited physical contact.
- Employing any personal attacks, in any form, including physical or language-based.
- Members Agree to uphold the ideal that Cosplay is not Consent: Cosplaying Members will provide verbal permission/consent before being photographed or coming into physical contact. Members employing photography at the Event are required to obtain consent.
- Weaponizing this Code of Conduct Policy against other Members.
Etiquette
All Members will uphold a modicum of basic human respect and consideration for all fellow Members and ASI Staff. Respectful discourse is expected of all Members, even in the face of disrespect; Remember that two wrongs do not make a right. Members should always report disrespectful or inappropriate behavior by fellow Members to the nearest ASI Staff immediately for adjudication.
All Members agree to abide by the following rules of Event etiquette:
- Maintain respectful treatment of other Members, ASI Staff, and Premises Staff.
- Respect personal distancing, personal space, and lanes of traffic through the premises.
- Do not engage or employ begging or soliciting of other Members for money, goods, or services.
- Maintain respect for others’ health by adhering to all posted Event Health Policies.
- Adhere to verbal or written guidance/instruction from ASI or Premises Staff.
- Refrain from sustained or repeated disruption of Event programming.
